Flora Public Library Program Room Policy

The Richter Room is available to any individual and not-for-profit organization in Monroe Township, regardless of affiliation, at no charge for rent. There will be a fee charged to cover supplies and extra cleaning. Those outside of Monroe Township and for-profit groups will pay a fee.
The Richter Room is available any day of the week, unless it is being used for library activities. Library events will take precedence in room scheduling. The library reserves the right to change or cancel reservations. Activities must be confined to the program room during library hours. Use of hallways for serving, etc., must be requested. Otherwise, serving and consuming refreshments must be confined to the Program Room
The application for room use must be filled out and fees paid in order to confirm the reservation. Children and young adult groups will be permitted to use the room provided they are supervised by at least two adults, at least 21 years of age. Adults must be present at all times.
FEES: A $25.00 deposit will be charged. This portion of the fee will be refunded provided there is no damage to the room and the key is returned. DO NOT LEAVE THE KEY IN THE BOOK DROP. RETURN IT DURING LIBRARY HOURS THE NEXT BUSINESS DAY. The refund will be made by check approved at the earliest board meeting following room use.
PLEASE NOTE: Two keys operate the outside entrance: the Program Room key provided to the user, and an Allen key which operates the door release bar on the inside. If either key is lost, a fee of up to $25.00 will be assessed. In addition, if the Program Room key is lost, the outside locks will be changed and the user billed for parts and labor.
All Monroe Township individuals and Not-for-Profit groups will be charged a $25.00 per day supply and usage fee.
Individuals and Not-for-Profit organizations outside of Monroe Township will be charged a $15.00 per day rental fee, plus supply and usage fee. All for-profit groups will be charged a $50.00 per day rental fee, plus supply and usage fee.
REFRESHMENTS: Food and non-alcoholic beverages may be served. No cooking or food preparation may be done on the premises. The microwave and refrigerator may be used, but must be left clean. The serving of red or other dark-colored drinks is prohibited. No smoking is allowed in the building. No candles may be used.
RESPONSIBILITY: Events must end and premises be vacated by 11:00 p.m. on the day of rental. Groups will clean the room after use, bag trash and set the bags in the storage room hallway , place tables and chairs in original positions, and turn off lights. Each group is fully responsible for damages to the room incurred during use. Abuse of the facility will be sufficient cause to deny future use. The library is not responsible for lost articles.
The Director has the authority to supervise room use and interpret this policy. The Board of Trustees reserves the right to alter or waive the rules.
ADDITIONAL INSTRUCTIONS FOR ORGANIZATIONS MEETING
ON A REGULAR BASIS
Not-for-Profit organizations in Monroe Township may reserve the room for regular meetings with the understanding that the Library reserves the right to allow other groups with only annual or occasional need for the facility to use the room when needed. The organization affected will be given ample notice so that arrangements can be made to meet elsewhere.
All stated rules apply for regularly scheduled meetings. However, the $25.00 refundable damage deposit will not be required prior to each meeting. Also, the key may be signed out prior to the meeting as long as the organization has a signed policy on file. The room will be inspected the following day and if it is determined that damage has occurred and/or the room requires more than routine cleaning, the organization will be billed for costs, payable upon receipt. Abuse of the facility or refusal to pay may result in loss of room privileges.
Organizations will be billed on an annual basis for supply and usage fees ($25.00 per meeting).
It is requested that the library staff be informed of special activities taking place during meetings (parties, crafts, etc.).
